About the opportunity

In this busy EA/Team Administrator role; you will be responsible providing administrative and office management support, and assisting with appropriate planning to ensure optimum time utilisation and all routine requirements are met.

Duties

  • Provide direct secretarial support, organise and manage day to day administrative functions for the Head of Marketing
  • Diary management
  • Domestic and international travel arrangements
  • Arranging and co-ordinating onsite and offsite meetings
  • Department accounts payable reconciliation and budget management
  • Organising of Confidentiality Agreements and Contracts for external consultants
  • Preparation of complex documents, presentations and reports
  • Manage and co-ordinate meeting schedules; distribution of Agenda and recording and distribution of Minutes for Meetings
  • Management of all correspondence - review, coordinate and prioritise incoming and outgoing mail, emails and any other correspondence
  • Co-ordinate and prepare monthly reports for submission to Head of Marketing
  • Design and establish systems for a range of administrative and technical tasks for Head office to implement/follow as required
  • Co-ordinate Car parking allocation for all staff under the direction of the Head of Marketing and being the first point of contact with Security
  • Other special project tasks as delegated by Commercial Director

Skills and Experience

  • Microsoft Outlook (Calendar, Meetings, Tasks, all functions), Word, Excel and Powerpoint.
  • Strong administrative and secretarial skills
  • Experience in a similar role.
  • Experience in a Marketing environment is highly desirable.
