About the role…

As a key administrative support, you will assist the Corporate Affairs & Market Access and Ethics & Compliance teams in their daily operations. Your systems expertise, proficiency in managing calendars and schedules for senior staff, and ability to coordinate travel, meetings, symposiums, and various administrative tasks will be highly valued. This role requires a proactive, adaptable, and resilient individual who is able to handle a variety of tasks.

What you'll be doing…

  • Planning and executing internal and external events that align with the department's goals and objectives.
  • Diary & Calendar management to ensure that all departmental activities are effectively scheduled and managed.
  • Acting as the primary point of contact for the department with regard to systems queries, training, upgrades, and other related matters.
  • Providing subject matter expertise in Document Control and Information Management, including providing training on cataloguing, policy review, and archiving.
  • Overseeing procurement processes, including the creation of purchase orders, management of invoices and payments, and vendor relationship management.
  • Advocating for privacy and data protection, working closely with the Ethics and Compliance teams to manage communications and ensure compliance with relevant regulations.
  • Managing departmental expenses, credit cards, and arranging international and local travel for executives and leaders.
  • Undertaking ad-hoc project work as required.
What you need…
  • Demonstrated experience working in administrative/ coordination/ Executive Assistant or related positions.
  • Possess strong systems acumen incl Microsoft Office suite.
  • Able to efficiently acquire, retain and impart knowledge to colleagues.
  • Exemplify a collaborative and transparent approach to teamwork.
  • Proven track record of taking a proactive approach and exhibiting initiative in driving improvements to processes, efficiencies and contributing innovative ideas to the team.
